GymAdmin ("we," "our," or "us") operates the GymAdmin mobile application (the "App"). This Privacy Policy explains how we collect, use, and protect information when you use our App.

1. Introduction

GymAdmin is a business management tool designed for gym owners and administrators to manage their gym operations, members, attendance, and related data. By using the App, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

A. Account Information

When you register as an administrator, we collect:

  • Name
  • Email address
  • Phone number
  • Gym business details
  • Login credentials (stored securely via encryption)

B. Gym Member Data

The App allows administrators to input and manage data regarding their gym members, including names, contact details, membership status, and attendance records. We process this data solely on behalf of the administrator, who retains ownership and control of this data.

C. Device Contacts

To facilitate the bulk import of gym members, the App may request permission to access your device's contacts. We do not upload, sync, or store your entire address book on our servers. We only process and import the specific contacts you explicitly select within the App. The selected contact data (name, phone number, and photo thumbnail) is transmitted securely to our servers and used solely to create member profiles within your gym's database.

D. Media and Files

With your permission, the App may request access to your device’s Camera or Photo Gallery. This is strictly used to allow you to:

  • Upload a profile picture for your administrator account.
  • Upload gym-related images (e.g., banners or logos).

E. Device and Technical Information

We automatically collect certain information to ensure the App functions correctly, including:

  • Device type and model
  • Operating system version
  • App version

3. How We Use Your Information

We use the collected data for the following purposes:

  • Service Provision: To provide the gym management features, authenticate users, sync data between your device and our servers, and facilitate the import of explicitly selected members.
  • Communication: To send you technical notices, updates, and security alerts.
  • Improvement: To monitor App performance and improve user experience.

4. Third-Party Services

We engage trusted third-party service providers to perform functions and provide services to us. These providers have limited access to your information strictly to perform these tasks on our behalf:

  • Amazon Web Services (AWS): Used for secure cloud hosting, database storage, and API services.
  • Google Firebase (FCM): Used to deliver push notifications to your device regarding gym updates and alerts.

5. Data Retention and Deletion

We retain your personal data only for as long as is necessary for the purposes set out in this Privacy Policy. Your Rights & Deletion:

  • In-App Deletion: You can delete your account and all associated data directly within the App settings. This action is permanent.
  • Manual Request: Alternatively, you may request deletion by contacting us at our support email. We will process these requests within 30 days.

6. Security

We value your trust in providing us your Personal Information. We use commercially acceptable means of protecting it, including HTTPS encryption for data in transit and secure database practices on AWS. However, no method of transmission over the internet is 100% secure and reliable, and we cannot guarantee its absolute security.

7. Children’s Privacy

Our Services do not address anyone under the age of 13. We do not knowingly collect personally identifiable information from children under 13. If we discover that a child under 13 has provided us with personal information, we immediately delete this from our servers.

8. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. Thus, you are advised to review this page periodically for any changes. We will notify you of any changes by posting the new Privacy Policy on this page.
